Setting up & Using Slides

Workday’s Slides functionality allows you to create Presentation decks directly in your tenant, integrating live data directly from Workday.

The reliance on reporting teams or admins spending hours creating presentations from data exported out of Workday is being replaced with Slides. Data or full graphical reports, such as pie or bar graphs that have been imported into Worksheets can be integrated into Slides to be shared with anyone in your organisation. This quick guide will give you an overview of setting up Slides in your tenant and how to unlock this new and easy way to create presentations directly in Workday.

Please note: Workday Slides is currently only available for subscribed fast followers and will become generally available shortly after 2021 R1 (Safe Harbour Applies).

The below information is from a GMS tenant using Logan McNeil as the user.

Domain Setup

Slides sit under Drive within Workday, so in order to access them you will first need to set up Drive in your tenant. You will also need access to Worksheets as they will feed data into Slides. If you need help setting up Drive you can reach out to us at info@3plusconsulting.co.uk

The following domain exists and sits under the System Functional area:

You will need view and modify access to the ‘Slides’ domain in order to be able to create and manage Slides in Drive. Generally, access is granted for Report Writer but can be done for other user-based groups depending on requirements and how your organisation self-serves reports.

Once you have activated pending security policy changes in your tenant you will have access to Slides in Workday.

Please Note: Access to the ‘Slides’ domain is subject to Slides functionality being released or the Fast Follower Program approval.

Slides Setup

Go into drive by searching or click on your profile icon. You can add this to your home page:

In the top left-hand corner click “Add New” and you will see Presentation in the drop down.

This will prompt you for a name for the Presentation:

You’ve then created a blank Slide and a PowerPoint style layout will be presented.

With similar functionality to PowerPoint, you can now build and change a slide deck to meet your organisation’s requirements. You also have the ability to import and schedule data directly from your Workday tenant to give real time and on demand self-serve information.

Data that is imported or key metrics shown will need to be linked to a Worksheet. As data updates in Worksheets, this can be refreshed in Slides.

Data can be built out and scheduled to update in Worksheets that track a range of key metrics, presented in a chart, table, pivot or any report related function from Workday. A simple example below shows a Worksheet with Headcount by Compensation Grade, presented in a simple Pivot table via some data from an advanced report. A metric is then built out to represent this in a table with a percentage:

The data can then be inserted into your Presentation slide, be it a table as above, or a linked chart etc.

This format of the table or chart can then be edited and changed depending on your requirements i.e. branding, layout and how you want to represent the information on your slide. Images or backgrounds can also be inserted to add additional metrics as required.

You can also include specific links to any key metric you wish to reflect in sentences and wording within the Slide. This is particularly useful if you want to draw out and highlight key metrics from a data set. This metric will also update in line with any changes to the Worksheets it was derived from i.e. if the data in the Worksheet is updated every month and the data is refreshed, the new value will automatically be populated.

When editing your presentation, any linked value or hyperlink will be highlighted as above, however once slides are put into the present mode or shared, it will look like standard text.

Sharing your Presentation

Similar to Worksheets, you can share your presentation with workers in your organisation with either an ‘edit’ or ‘view’ only permission. To do this just navigate to the ‘Share’ button in the top right of your presentation. If you want to share the presentation with security groups rather than individual workers, you’ll need to configure group sharing in Drive. You also have the ability to download your Slide as a PDF or Powerpoint presentation.

Slides move us closer to self-service reporting, closer to automated reporting (with less resource dependent metric building) and absolutely drives user adoption.

The final product is a presentation that dynamically updates with data drawn directly from your Workday environment and has the same look and feel as the regular presentations your company develops.
